The 10 Step Process to Planning Your Wedding

Couples come to us at all stages of their wedding planning. Some have yet to choose a venue, while others are well into the planning process but have become overwhelmed and time-pressed, requiring assistance with the next steps.

There is no correct or incorrect method for planning your one-of-a-kind wedding. There are some dos and don’ts to try to follow, but everyone plans differently, which is perfectly fine.

Step 1: Develop a Vision for Your Day

I mentioned this previously when discussing how to select a venue. The first step is to sit down and create a clear picture of what you want your day to look like, listing the most important aspects and your top non-negotiables. This is a good place to refer to when making important decisions.

Step 2: Budget

How much can you afford to spend? This will have a significant impact on many of your important wedding decisions. Do you have a $10,000 budget, but the venues you are considering cost $12,000 to hire alone? Create a rough budget, but be realistic about adding an additional 20% or more for any unexpected expenses.

Step 3: Prepare a guest list

Take out your pen and paper and begin compiling a guest list for the ballpark. I find it useful to make a list of everyone and then start cutting down from there based on the venue you choose. Some venues limit the number of guests to a certain number, such as 120, so having 200 on your list will automatically rule them out. Some venues only allow 50 guests, so it is pointless to look into availability if the venues you are considering do not accommodate your guest count.

Step 4: Research the venue

It is critical to first determine a venue and date. There is no point in researching suppliers, styling, and other aspects of your wedding until a venue has been chosen, as this may affect whether you can even have certain suppliers or their availability.

Step 5: Hiring a Wedding Planner

I am a bit biased, but hiring a wedding planner will be the best decision you ever make. You can book them ahead of time for your venue search because they may know of a venue that does not advertise on Google that you may have missed, as well as insider knowledge of the best suppliers who work with that venue on a regular basis. They will keep you on track throughout the process, and the peace of mind that nothing will be overlooked or missed is well worth it!

Step 6: Choose Your Bridal Party

Once your venue and date have been confirmed, it is time to select your bridal party (if you have one).

Step 7: Make a Mood and Style Board

Go to Pinterest, talk to your partner, and decide on the style and look you want for your wedding. This will assist your stylist and florist in creating the desired vibe. You can also experiment with layouts, floor plans, and begin booking props and furniture for your wedding. Be sure to check what your catering company requires, as well as what the venue already has that you can use, such as tables and chairs.

Step 8: Book in your Suppliers

This can be a time-consuming process, so being organized is essential. Start with a spreadsheet and a quote folder. We use Google Drive so that both our planners and couples can add quotes and update them live as we go. Whatever works best for you, be organized and begin with your largest, most expensive suppliers and work your way down. We like to start with catering because many of the venues we work at can bring in off-site catering, which will be one of your main expenses. Once you know the style of food service, such as sit down or canapé style, you can move on to styling and hiring, a photographer, a celebrant, and band.

Step 9: Create a Day’s Run Sheet/Timeline

It is critical to create a day-by-day run sheet or timeline to share with vendors and venues. Communicate with key suppliers who will be present on the day to determine how long they will need for set up, food timings, band sets, bump out times, and so on. Once completed, you can send it to your suppliers for review. With a clear flow to your day, everyone will know what is going on where, and you will be less likely to be bombarded with questions on your wedding day.

Step 10: Verify your logistics

If you have a wedding planner or venue manager, they can assist you with this to ensure you have not missed anything. I also recommend that you listen to our previous podcast episodes about the top things forgotten at a DIY wedding, as well as check out the blog for this post. Consider each aspect of your wedding from a logistical standpoint, such as lighting, bins and rubbish removal, bar items such as drink tubs and bottle openers, do you have candles for the candle holders, a pamper pack in the bathroom, a generator for power needs, and so on.

There are many other smaller steps in between, but these are the most important things to consider when planning your wedding day from start to finish and ensuring there are no hiccups along the way. I hope this has provided couples with an excellent step-by-step guide for planning their wedding. Good luck with your planning!
